Executive Assistant / Personal Assistant to the Executive Management - Logicom Public Ltd - Cyprus

The job holder is expected to work closely with the Executive Management to provide administrative and secretarial support, usually on a one-to-one basis and more specifically to help them make the best use of their time.

 

Job Responsibilities

  • Provide sophisticated calendar management for the Executive Management. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
  • Act as a liaison and provide support, arrange and handle all logistics for executive meetings and events: schedule meetings; distribute presentation materials.
  • Serve as the primary point of contact (personal, by phone or by email), for internal and external parties on all matters pertaining to the Executive Management, including those of a highly confidential or critical nature.
  • Work closely with the Executive Management to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Act as a "barometer," having a sense for the issues taking place in the environment and keeping the Executive Management updated.
  • Anticipate Executive Management’s needs in advance of meetings, conferences, etc.
  • Handling the Executive Management’s social media channels, including Facebook, LinkedIn, Twitter, and other relevant platforms.
  • Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the Executive Management and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team.
  • Work with the Executive Team to coordinate the Executive Management’s outreach activities. Follow up on contacts made by the Executive Management to cultivate ongoing relationships.
  • Provide event management support as requested.
  • Safekeeping of confidential documents and maintaining complete filing system.
  • Preparing various events in cooperation with other Departments.
  • Arranging travel, visas and accommodation for the Executive Manager in cooperation with the Group’s Travel Coordinator.
  • Replacing other Office Administrators as needed.
  • Other projects/duties as assigned for the overall benefit of the organization

 

Qualifications and Skills

  • University degree.
  • Master’s degree will be considered an advantage.
  • At least 4 years’ experience in a similar role.
  • Strong ability to execute work with a diversity, equity, and inclusion lens.
  • Significant executive support experience, including supporting C-level executives.
  • Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials. Further training will be provided by the Group if needed.
  • Exceptional organizational skills and impeccable attention to detail.
  • High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, customers, vendors.
  • Make appropriate, informed decisions regarding priorities and available time.
  • Ability to complete a high volume of tasks and projects with little or no guidance.
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
  • Able to maintain a high level of integrity and discretion in handling confidential information.
  • Ability to switch gears at a moment’s notice.
  • Effective written and reporting skills.
  • Fluent in Greek & English verbally and in writing.

 

On occasion, the job incumbent must be flexible in regards to the working hours, based on the needs of the position and the Executive Management.

PRE-EMPLOYMENT CANDIDATE PRIVACY NOTICE FOR MEDICAL ASSESSMENT BEFORE HIRING

You agree that subject to the completion of the recruitment process and provided that you receive a conditional offer for employment, you will go through a Fit-For-Work assessment by the Company’s Doctor. The Doctor defines the medical tests needed and performs the examination. You will need to sign a Data Privacy consent with the Company Doctor. The Company Doctor will provide a Fit-For-Work assessment with possible comments to the Company. This assessment will be one of the elements taken into consideration for providing a final offer. Other elements include but are not limited of, verification of the educational certifications, the references, and the work permits (if applicable).

Logicom will keep the Fit-For-Work assessment as part of your HR records if your Employment Contract is signed. If the Employment Contract is not signed, the Fit-For-Work assessment will be destroyed upon such confirmation.
